User Activity Management

Introduction

Access Monitoring captures all the successful and failed login attempts of all Prolaborate users. Admins can view the login and logout time, system information, and IP address of the users logging in to Prolaborate.

For unsuccessful login attempts, the admin can also quickly identify the reason for the failure in the Event Info column.

Note:

  1. Access Monitoring is previous known as User Login Audit (in v5.2 to v5.5) and Login History (in v5.1 and below)
  2. Access Monitoring is grouped under Monitor & Audit Console menu under Portal Settings.

Prerequisite

Admin access is required to view and manage the entries in Access Monitoring.

View Login Events

Click Menu > Monitor & Audit Console under Portal Settings or find using the search bar to open the access monitoring page.

Once clicked, the admin automatically navigates to the Access Monitoring page, where all user sessions are captured along with their types.

Users’ entries are listed in the following columns,

Field Description
Name Shows the name of the user. Clicking the username opens the user’s profile in detail on a separate page.
User Type Specifies the user type (Prolaborate Admin, Registered User, Identity Provider User, Active Directory User, Active Directory Group User).
Event Type Shows whether the login attempt was successful or failed.
Event Info Shows details & reasons about failed login attempts.
Login DateTime (Start Time) Shows the time when the user logged in to the application.
Logout DateTime (Last Request) Shows the user’s last access time in the application.
IP Address Displays the IP address of the logged user’s network.
System Info Shows the system information, including OS and browser type.

Note:

  1. The latest entry will be displayed on top.
  2. The user profile will not be accessible if the user is removed from Prolaborate.
  3. The username will be termed as Anonymous if the authentication is failed for SSO users who is not previously logged in to Prolaborate.
  4. From 5.6, the logout datetime will be captured even if the user closed all the tabs or the browser window.

Refresh Entries

To fetch the recent session details of the users, one needs to click the Refresh icon.

Remove Unwanted Entries

To remove unwanted entries, click the Delete icon next to the entry.

Entries can also be deleted in bulk. Deleted entries are archived in the database for future reference.

Download Access Reports

Admins can export all details as an Excel file for record-keeping or reporting purposes.

Click the Download icon to initiate the download process.

Enter a suitable file in the modal window and click Download to initiate the process.

You will receive a notification once the file is processed successfully.

Click the notification or click the Downloaded Reports in the Monitor & Audit Console to navigate to the download center and then

Click Download to download the file.

The following columns will be available in the downloaded excel file.

  • Username and type
  • Login and logout time
  • IP address
  • System info
  • Login status and details

Note:

  1. From Prolaborate v5.6, admin can download the entire report as a excel file.
  2. In Prolaborate v5.5 and below, only the visible entries on the current page can be exported; not all entries can be downloaded in a single click, and the maximum limit is 50.

Event Messages – Login Activity in Prolaborate

Event Info Description Reason
User tried to login with incorrect password This message appears when a user enters a valid username or email, but an incorrect password. Useful for tracking failed login attempts and identifying potential misuse of known credentials.
The [username/email] is not part of Prolaborate This indicates that someone attempted to log in using a non-existent or unregistered username/email in Prolaborate. Helps detect unauthorized access attempts by users who are not part of your repository setup.
